Privacy Policy

This Privacy Policy explains how PoleFX (“PoleFX,” “we,” “us,” or “our”) handles information when you visit polefx.com or other websites we operate, communicate with us online, or use PFX Bot, our AI-enabled Discord assistant (together, the “Services”).

1. Information you provide

We primarily collect information that you choose to submit directly to us. This may include your name, email address, company information, message content, project or product inquiries, files, and other information you provide through forms, email, purchases, support requests, or other communications.

When you interact with PFX Bot, we may process Discord account, server, channel, role, and message identifiers; profile information made available through Discord; messages, commands, prompts, reactions, attachments, and links sent to or made accessible to the bot; the bot’s responses; and records of actions it performs. The bot receives only information permitted by its configuration, server permissions, and Discord’s platform controls.

2. Basic website and technical information

Like most websites and online services, our systems and service providers may automatically receive limited technical information needed to deliver and secure the Services, such as IP address, browser and device type, pages requested, referring page, approximate location derived from IP address, timestamps, error records, and security logs. We may use basic web analytics to understand aggregate traffic and site performance. We do not use this information to build advertising profiles, and we do not sell personal information.

3. How we use information

We use information to provide and operate the Services; respond to inquiries, prompts, and commands; fulfill requests and transactions; support PoleFX business workflows; maintain task and conversation context; understand basic website usage; troubleshoot, secure, and improve the Services; enforce our Terms; and comply with legal obligations.

4. Service providers and AI processing

Information may be processed by providers that support our websites, communications, commerce, Discord connectivity, hosting, analytics, automation, storage, and artificial intelligence. Content submitted to PFX Bot may be sent to Discord, OpenClaw infrastructure, and configured AI model providers to generate responses or perform requested actions. These providers process information on our behalf or under their own applicable terms.

5. When we disclose information

We may disclose information to service providers needed to operate the Services; when you direct or authorize us to share or act on information; in connection with a business transfer; to protect the rights, safety, and security of users, PoleFX, or others; or when required by law. We do not sell personal information or disclose it for unrelated third-party advertising.

6. Cookies and similar technologies

Our websites or service providers may use cookies or similar technologies that are necessary for site functionality, security, remembering preferences, or basic analytics. We do not use them for third-party behavioral advertising. Browser settings can limit cookies, although doing so may affect some features.

7. Retention

We retain information only as long as reasonably needed for the purposes described above, including completing requests and transactions, maintaining business records and task continuity, security, troubleshooting, and legal compliance. Retention varies by data type and system. Discord content may also remain in Discord according to Discord’s and the relevant server’s settings. We delete or de-identify information when it is no longer needed, subject to backups and legal obligations.

8. Your choices and requests

You may request access to, correction of, or deletion of personal information associated with you by emailing spencer@polefx.com. For a PFX Bot request, include your Discord user ID and enough detail to identify the relevant server or interaction. We may need to verify your identity and may retain information where required by law or necessary for security and legitimate business records. Server administrators can limit PFX Bot’s permissions or remove it.

9. Security

We use reasonable administrative and technical measures designed to protect information. No method of transmission or storage is completely secure, so we cannot guarantee absolute security.

10. Children

The Services are not directed to children under 13, and we do not knowingly collect personal information from children under 13. Contact us if you believe a child has provided information to us.

11. International processing

Information may be processed in the United States and other countries where our service providers operate. Those countries may have different data-protection laws than your country.

12. Changes to this policy

We may update this policy as the Services or applicable requirements change. We will post the revised version here and change the effective date.
